Painswick Rococo Garden Trust (defined as “Rococo Garden” from hereon) is committed to protecting your privacy and developing technology that gives you the most powerful and safe online experience. Rococo Garden is committed to protecting privacy and developing technology that provides confidential and safe handling of data.

This policy defines data in accordance with the current legislation, outlines the data protection principles and the role of staff within the Garden who handle data and must adhere to these principles.

The Trust’s Responsibilities

The Trust is aware of its responsibility to comply with the 2018 EU General Data Protection Regulation which requires organisations to demonstrate that they have appropriate technical and management measures in place to ensure and be able to demonstrate that processing is performed within this Regulation.

The Trust is aware of this covers all aspects relating to collecting, handling and processing personal data about its members and visitors.

Definitions

  • Data – information about an individual recorded on paper that is intended to go on a computer and electronic records stored on a computer.
  • Personal data – data from which a living individual can be identified, eg. name, address, email, telephone number, date of birth, driving licence number, NI number and passport number.

Principles of Data Protection

Rococo Garden is committed to demonstrating that all personal data is:

  • Collected only for specific legitimate purposes
  • Adequate, relevant and limited to what is necessary
  • Accurate and, where necessary, kept up to date
  • Stored only as long as is necessary
  • Processed in a manner that ensures appropriate security, and

Collection of Personal Information

Rococo Garden collects personally identifiable information, such as names, email addresses, addresses or telephone numbers.  These are gathered through voluntary provision of data by members of the public when visiting the Garden, through completing forms for membership or providing information online through the website.

The Garden also collects anonymous demographic information, which is not unique to individuals, such as post codes, age, gender, preferences and interests.

Rococo Garden maintains a database of information on businesses, organisations, suppliers, contacts and other individuals with whom it does business.

When collecting data, Rococo Garden will inform individuals and companies the purpose for which it is requesting information and will assure them that any data given will only be used for the purposes for which it is collected.

Subject Access requests

All individuals who are the subject of personal data held by Rococo Garden are entitled to ask what information the Garden holds about them and why, be able to keep it up to date, and be informed how Rococo Garden is meeting its data protection obligations.

If an individual makes a subject access request to Rococo Garden, the staff will firstly verify the identity of the person making the subject access request, inform them if there are any costs for finding the relevant data information, and then supply the details when they are available.

Data security

Rococo Garden is committed to maintaining security and confidentially of any data it holds, and to put in place measures to protect this data, both online and with hard copies of data held by the Rococo Garden office.  All staff will be instructed to be vigilant in the use of data and to keep it solely for use by the Garden, unless agreed otherwise.

Where personal data is stored on paper or printed out, it will be kept in a secure place where unauthorised people cannot see it. When not being used, it will be locked away, or when it is no longer needed, it will be shredded and disposed of securely.

Where personal data is stored electronically, it should be protected from unauthorized access, accidental deletion and malicious hacking attempts.  This should include protection by strong passwords that are changed regularly and not shared between staff, kept locked away if stored on removable media, only stored on designated drives and servers stored in a secure location that are backed up frequently, and protected by approved security software and a firewall.

Should there be a breach of security where data held by Rococo Garden is released inadvertently, then Rococo Garden staff will immediately make every attempt to retrieve the data and make it confidential again.  Rococo Garden staff will also investigate how the breach happened and put in place processes so that it does not happen again.

If Rococo Garden suffers from outside interference whereby hackers successfully gain access to sensitive data, then Rococo Garden will immediately inform those whose data has been accessed what has happened, in case there is any adverse impact from the incident.
